We're preparing for an organization-wide migration from Outlook to Google Workspace, and the most challenging part seems to be handling old PST archives. Some employees have multiple PST files created over several years, while others have single archives larger than 30 GB. Since many of these mailboxes contain legal documents, customer communications, and financial records, preserving every email and attachment is extremely important. Management also wants detailed migration reports to confirm that every mailbox has been transferred successfully before Outlook is decommissioned.

I've spent the last few days researching how to import PST to Google Workspace , but there are mixed opinions regarding native utilities versus dedicated migration software. We need a solution that supports bulk migrations, selective mailbox processing, duplicate removal, and accurate reporting because manually validating hundreds of mailboxes would consume a significant amount of time. Another important requirement is maintaining the original folder hierarchy so employees don't have to reorganize years of archived emails after moving to Gmail.

During my evaluation, I also came across the DRS Softech PST to Google Workspace Migration Tool. The features related to batch processing, preview functionality, JSON authentication, and advanced filters appear promising for enterprise environments. However, I'd rather learn from professionals who've completed similar migrations than rely only on product documentation. Understanding real implementation challenges would help us plan a smoother rollout.

For IT administrators who recently had to Migrate PST File to Google Workspace, what would you do differently if you had to repeat the project? Were there any unexpected challenges with large PST files, mailbox verification, or user acceptance testing? Any recommendations for reducing downtime and ensuring migration accuracy would be very helpful before we begin our deployment.
