Our organization is consolidating several years of archived Outlook emails, and we've discovered that a large portion of historical communication has been stored as individual MSG files instead of PST archives. These files include vendor negotiations, legal notices, customer support conversations, HR records, and project approvals. Since many of these emails must be retained for compliance purposes, we're looking for a reliable long-term archival strategy.

The first step we're considering is to convert MSG to PDF  so users can access archived emails without Microsoft Outlook. However, accuracy is extremely important because we need to preserve sender information, recipients, timestamps, attachments, email headers, and formatting exactly as they appear in the original messages. With thousands of MSG files spread across multiple folders, manually opening and saving each email simply isn't realistic. Batch processing, folder hierarchy preservation, and advanced filtering would make the project much easier to manage.

Those capabilities seem appropriate for enterprise environments, but before proposing any solution internally, I'd appreciate hearing from IT professionals who have actually used similar tools in production.

Another important requirement is choosing an efficient MSG to PDF converter that can process thousands of emails while maintaining complete data integrity. We also want searchable PDF files, organized output folders, and reliable conversion reports to simplify future audits and document retrieval. Since these records may be referenced years from now, preserving every detail is critical.

If you've completed a similar conversion project, I'd love to hear what worked well, which validation steps you followed, and whether you encountered any issues with attachments, formatting, or oversized batches during the conversion process.
