Managing duplicate files across an organization's OneDrive environment can be more complicated than cleaning up a personal account. Different employees may upload the same reports, presentations, spreadsheets, and project documents to separate folders. Over time, these repeated files make storage management more difficult and can create confusion about which copy should be retained.

Checking each employee's OneDrive manually is time-consuming, particularly in organizations with many accounts. Administrators need a workflow that supports systematic scanning, duplicate review, and controlled removal while respecting organizational permissions.

The SysInfo OneDrive Duplicate File Finder  includes support for both Personal and Business OneDrive accounts. Its Assign Impersonation feature is designed to help administrators manage duplicate files across multiple OneDrive accounts when the necessary permissions and configuration are available.

The tool also provides Scan All Folders, duplicate grouping, and selective removal options. Administrators can review detected duplicate items and choose whether to move them to the Bin or delete them permanently. These capabilities may help with storage cleanup and routine file-management tasks.

However, multi-account access should be configured carefully. Microsoft 365 permissions, administrator consent, authentication policies, and organizational security requirements must be considered before using any third-party utility. It is also important to establish which copy should remain, especially when files have different sharing permissions or are used by different teams.

Before rolling out a cleanup across multiple accounts, I would test the workflow with a small group of authorized accounts, verify the duplicate results, and confirm the recovery process. A written retention policy can also prevent accidental removal of business-critical records.
